Archiving your Email

Enkive is designed to archive all email except those messages as filtered by your system administrator. So there's nothing you need to do to get your email into the archive.

Purging Email from the Archive

Enkive is policy-based. The policies are set by your organization's management with consideration of regulatory and legal requirements. There is no way to purge individual email messages from the archive.

eDiscovery: Searching the Archive

In the present release, only administrators can search the archive. In future releases we plan on allowing administrators to allow general users to access their own archived email.

There are three types of searches in the application

Search: Searches the entire archive

Recent searches: Lists all the recent searches that have been performed

Saved searches: Lists all the searches that have been saved

Search

Search by one or more criteria. The more criteria are entered, the narrower the search.

The basic search is the search by content and will include attachments. Non-content words will not result in a meaningful discovery (e.g. "the" or punctuation marks) on the other hand wildcards using the * will fin content if it exists.

Search by sender (the more complete the email address, the better the results)

Search by recipient (the more complete the email address, the better the results)

Search by Subject (partial subject will work)

Search by send date

Search by receive date

Search by message id - the id must be complete, else it won't work.


The results of your search will appear in "Recent Searches" by default. The same happens if your search times out. Once the spinner completed spinning, A message will appear to this effect.

You will have an option to save the search and / or export the search in .mbox format which you can subsequently import into a local folder and read with Thundebird.

Recent Searches

Will list all the searches that have been performed in date order - most recent to least recent. The data under the criteria heading will include the keys that were used to search the archive. The amount of time that recent messages will be kept is specified in the configuration file by the administrator. Click on the line item to display all the messages in that particular search

Save button

The save option will create a semi permanent link to the archived messages that requires an action to purge the "saved folder". When clicking on save next to a search, the search will be removed from recent search and re-categorized as a saved search.

Delete button

Deleting a line item from Recent Search does not remove the messages from the archive. The only way to remove messages from the archive is based on the retention policy.

Saved Searches

One may save a search directly from a search of from the recent Search review. Click on saved searches to get a list of searches that have been saved. Click on a message line to display the messages in the saved search
